The agents are optional. When enabled, an excerpt of the recognized text (12,000 characters at most) is sent to the Google Gemini AI service for analysis; without a configured API key, no agent runs and no content is transmitted.

ArchiveFlow is hosted in Canada. The only exception: if you enable the optional AI agents, an excerpt of the recognized text is analyzed by Google’s AI service (see above). ArchiveFlow helps meet the requirements of Quebec’s Law 25 and PIPEDA (controlled access, traceability, encryption), but an organization’s compliance also depends on its own practices. Frequently asked questions

Which document formats are accepted?
PDF, JPEG, PNG and TIFF, up to 50 MB per file. The real type is verified from the file’s content.
How accurate is the OCR?
It depends on the quality of your scans. ArchiveFlow uses Tesseract in French and English (default, adjustable per document) and records a confidence score for each document. The quality control agent, if enabled, can recommend a rescan.
Are my documents encrypted?
Yes. Each document and each version is encrypted with its own key (AES-256-GCM) before being stored. Access and actions are recorded in the audit log.
Where is my data hosted?
ArchiveFlow is hosted in Canada. If you enable the optional AI agents, an excerpt of the recognized text is sent to Google’s AI service for analysis; without them, no content leaves the hosting.
Who can see my documents?
The users of your organization, according to their role (auditor, reader, contributor, archivist, administrator). Each organization’s data is isolated in a separate database schema.

How do I share a document with a client?
Through a random link, with optional password, expiry date, view or download permission and a counter. A whole folder can be shared as a ZIP archive. Repeated password attempts are rate-limited.
